Sometimes you don't want to transfer Office documents to the texts, but only the formats. We provide you with various ways for Word, Powerpoint, Excel, and Outlook.

Keyboard shortcut for Format painter in Word and Powerpoint

In Word and PowerPoint is very easy with the advanced key combinations [Ctrl]+[shift]+[C] to Copy and [Ctrl]+[shift]+[V] to Paste the formatting. Outlook knows this is a possibility, because the Word is used there as a text editor.

Format transferred via the ribbon

Alternatively, you can use the ribbon in Word and Powerpoint:
  • To do this, click first in the field with the desired formatting and then in the home tab of the ribbon, in the area of "clipboard" on the brush icon button in "Format" (see Screenshot).
  • Now click in the document to format-paragraph, to apply the preset. If you want to transfer the Format to several items, first click twice on the above button. Then the brush icon remains on the cursor until you leave the transfer mode by Pressing the [Esc] key again.

Format painter in Excel

In Excel the situation is a bit more difficult. Here are the practical shortcuts missing, but you can at least run with a sequence of access keys to the relevant command in the ribbon via the keyboard.
  • To do this, copy the cell with the output format with the key combination [Ctrl]+[C]. Then click the "home" tab of the ribbon, in the area of "clipboard" on the arrow to the icon "Paste".
  • Now, select the first icon in the "More insert options ". This process is also available using the keyboard, by pressing successively the keys [Alt], [R], [V] and again, [R].
